Adding Attachments to Email Message Templates

What is the Email Attachments Feature?

The Email Attachments feature allows you to upload and attach files to your email message templates. When an email is sent using these templates, the attachments will automatically be included with the message.

Who Can Use This Feature?

This feature is available to all users with permission to edit email templates in the system.

Supported File Types

You can attach the following types of files to your email templates:

  • PNG images (.png)
  • JPEG images (.jpg)
  • PDF documents (.pdf)

Adding Attachments to Email Templates

Access Email Templates

  1. Log into your account
  2. Go to Settings
  3. Select Mail Messages

Add Attachments

  1. Find the email template you want to modify
  2. Click the Edit button for that template
  3. Locate the Attach File icon in the editor toolbar
  4. Click this icon to open the file selection dialog
  5. Select the file(s) you want to attach
  6. After upload, your files will appear in the attachments area

Preview Attachments

  1. To preview an attached file, click the Eye icon next to the file
  2. A preview window will open showing the attached file
  3. Close the preview when finished

Save Your Changes

  1. After adding all desired attachments, click the Update button
  2. Your changes will be saved, and the attachments will now be included with this email template

Managing Attachments

All attached files will display in a new column labeled "Attached Files" in the Mail Messages table. From here, you can:

  • See which templates have attachments
  • View the number of attachments for each template
  • Access the edit screen to modify attachments

Troubleshooting

File Upload Issues

If you encounter problems uploading files:

  1. Verify the file is one of the supported types (.png, .jpg, .pdf)
  2. Try a different browser if issues persist

Attachment Not Appearing in Sent Emails

If attachments aren't appearing in sent emails:

  1. Confirm you clicked Update after adding the attachment
  2. Verify the attachment appears in the "Attached Files" column
  3. Test by sending a test email to yourself
  4. Contact support if the issue persists
