Adding Variable Charges to Reservations

Variable Charges in OpenCampground allow you to add flexible, situation-specific fees to a guest's reservation. These charges can be applied during or after a guest's stay and are ideal for fees that may not be known at the time of booking or that vary based on usage or circumstances.

Benefits:

  1. Flexibility: Adapt to unexpected situations or guest requests that arise during a stay.
  2. Accurate Billing: Charge guests precisely for their actual usage of resources or additional services.
  3. Customization: Tailor charges to specific guest behaviors or needs, enhancing your ability to manage diverse situations.
Common Uses:
  1. Late check-out fee
  2. Excessive cleaning fee
  3. Extra Vehicle Fee
  4. Equipment Rental
Differences between Variable Charges and "Extras"

"Variable Charges":

  • These are more flexible, situation-specific charges that may not be known in advance.
  • The amount can vary based on factors like duration, quantity, or specific guest actions.
  • They're typically added by staff during or after the stay, rather than selected by guests at booking.
"Extras" in OpenCampground:
  • These are pre-defined additional items or services that guests can add to their reservation.
  • They are typically optional and chosen by the guest or offered by the staff.
  • Extras usually have a fixed price and are added to the reservation as separate line items.
Instructions:
  1. Locate the reservation or create a new one
  2. On the "Reservation Details" page, go to "Additional Options"
  3. Provide a description of the charge
  4. Enter the an amount for the charge
  5. Apply any taxes for the charge
  6. Click the "Add" button
Remember, clear communication with guests about any additional charges is crucial for maintaining positive relationships and avoiding disputes. Always be prepared to explain the reason for variable charges to your guests.
