How to Check Out a Guest

Overview

This article explains how to check out a guest who is currently staying at your property. When you check out a guest, their reservation will be moved to the Archives section and they will receive an automated confirmation email.

Methods for Checking Out Guests

There are two ways to check out a guest in the system. Both methods are accessible from the Reservations menu.

Method 1: Direct Checkout from Reservations List

  1. Navigate to the Reservations menu
  2. Locate the guest's reservation in the list
  3. Look for reservations with the status "Checked In"
  4. Click the Check Out button next to the guest's reservation

Method 2: Checkout from Reservation Details

  1. Navigate to the Reservations menu
  2. Find the guest's reservation in the list
  3. Click the View button to open the reservation details
  4. On the reservation details page, click the Check Out button

What Happens After Checkout

When a guest is checked out:

  1. Reservation Status: The reservation status changes from "Checked In" to "Checked Out"
  2. Archives: The reservation moves from the active Reservations list to the Archives section
  3. Email Notification: The system automatically sends a checkout confirmation email to the guest. The template being used is reservation_feedback

Finding Past Checkouts

To view reservations of guests who have been checked out:

  1. Navigate to the Archives menu
  2. All checked-out reservations will be displayed in this section
  3. You can search or filter the Archives to find specific past reservations

Troubleshooting

Check Out Button Not Appearing

If you don't see the Check Out button:

  • Verify the guest is currently in "Checked In" status

Guest Did Not Receive Checkout Email

If a guest reports not receiving their checkout email:

  1. Verify their email address is correct in their reservation details
  2. Check to see if the email went to their spam folder. 
  3. Send a manual email confirmation if needed
