How to Take a Terminal Payment
Prerequisites
Before taking terminal payments, ensure you have the following configured:
Merchant Account: You must have a merchant account with one of our integrated card processors:
- Priority Payments
- CardConnect
Payment Configuration: Configure your payment settings in OpenCampground:
- Go to Settings
- Select Payment Configuration
- Verify that you have a payment processor configured
Preparing for Terminal Payment
Before You Begin
- Turn on your terminal and ensure it's properly connected to the internet
- Gather all reservation information and complete the reservation details
- Pull up the reservation that requires payment in OpenCampground
Processing Terminal Payment
Step-by-Step Process
Access the Reservation
- Navigate to the reservation requiring payment
- Ensure all reservation details are complete and accurate
Initiate Terminal Payment
- Click the Terminal button within the reservation
- The system will attempt to connect to your POS terminal
Process the Transaction
- If the connection is successful, the transaction will begin processing
- Important: Do not close the browser window or hit refresh during processing
- Wait for the transaction to complete
Transaction Completion
- Once completed, OpenCampground will automatically record the transaction
- The payment will be reflected in the reservation details
- You'll receive confirmation that the payment was processed successfully
Important Warnings
- Do not close the browser window during payment processing
- Do not refresh the page while the transaction is in progress
- The terminal message will time out if no action is taken after a few minutes
Troubleshooting
Terminal Not Connecting
If the system cannot connect to your terminal:
- Verify your terminal is powered on
- Check your internet connection
- Contact support if connection issues persist
Transaction Fails
If a transaction fails:
- Check that the customer's card is valid and has sufficient funds
- Verify the terminal is functioning properly
- Try the transaction again
- Contact your payment processor if issues continue
Payment Not Recording
If the payment processes but doesn't appear in OpenCampground:
- Wait a few minutes for the system to sync
- Refresh the reservation page
- Check your transaction logs
- Contact support if the payment still doesn't appear
