Archived reservations in OpenCampground are a record of past bookings that have been completed, cancelled, or checked out.
This feature allows you to access historical reservation data, providing a comprehensive view of your property's booking history. Archived reservations include essential information such as guest details, dates of stay, site used, and financial transactions associated with the booking.
Why Archiving is Important:
Keeping archived reservations instead of deleting them is a best practice for businesses for several reasons:
- Historical Data Analysis: Archived reservations provide valuable data for analyzing booking trends, occupancy rates, and revenue patterns over time.
- Customer Service: Access to past reservation details can be crucial when dealing with returning guests or resolving disputes.
- Financial Record-Keeping: Archived reservations serve as a record of past transactions, which is important for accounting and tax purposes.

Instructions:
- Go to the "Reporting" section
- Click on Archives
- Scroll through the list of archived reservations, or you can use the search field to find a specific reservation by using either the "Reservation Number" or "Full Name" of the Guest
- You can also filter the list of archived reservations by their status by clicking the filter buttons: "All", "Cancelled", "Checked Out"

OpenCampground does not automatically delete reservations.
Remember, while archived reservations are valuable for record-keeping and analysis, it's important to maintain guest privacy and data protection standards. Ensure that access to archived reservation data is limited to authorized personnel only, and follow any applicable data retention and privacy laws in your jurisdiction.
